FIRST VICE PRESIDENT

General Statement
The First Vice President shall serve as a liaison in the affairs of the Community Action Network and the Federation of American Women’s Clubs Overseas (FAWCO). She will also maintain the Club’s Website: www.awcphilippines.org

Policy
1. Maintain annual membership of AWCP with the Federation of American Women’s Clubs Overseas (FAWCO).
2. Maintain correspondence to and from FAWCO.
3. Facilitate access to FAWCO programs, projects and activities for AWCP members.
4. Attend regional and/or international FAWCO meetings, as approved by the Board of Directors.
5. Maintaining and Updating the AWCP Website.
6. Planning a budget of expected expenditures and any expected income.
7. Advising the Board of Directors about FAWCO activities/programs/ opportunities, and activities within the Community Action Network.
8. Assuming the duties of the President in her absence.
9. Delegating the duties of this Office to another Board member when she is out of town or otherwise unable to carry out her duties.
10. Preparing and submitting a Year-End Report on the activities of the office.

Procedures
Maintain annual membership of AWCP with the Federation of American Women’s Clubs Overseas (FAWCO). The First Vice President is responsible for timely payment of annual membership dues and web fees to FAWCO. These dues are to be paid in January of each year. The First Vice President must also assure that FAWCO has an up-to-date profile of the AWCP, including all officers and committee chairpersons, contact information, and club activities.

Maintain correspondence to and from FAWCO
FAWCO sends regular correspondence to the AWCP in the form of email, newsletters, magazines and other media. The First Vice President is responsible for organizing and maintaining this information to be of substantive use. She is also responsible for responding to FAWCO inquiries concerning activities, programs, policies, etc. of the AWCP. It is critical that the First Vice President maintain this two-way communication between FAWCO and the AWCP.

Facilitate access to FAWCO programs, projects and activities for AWCP members.
Information contained within FAWCO correspondence is of value to the Board of Directors, as well as the general AWCP membership. The First Vice President must establish means of getting this information to members. Monthly articles to Inklings should be written, highlighting news received from other clubs or articles of interest. FAWCO maintains a website, which is available to all AWCP members. Additionally, AWCP members who may wish to find information about other American Women’s Clubs around the world should be able to access FAWCO for this information. It is the responsibility of the Vice President to organize and maintain FAWCO information for the benefit of AWCP members.

Attend regional and/or international FAWCO meetings, as approved by Board of Directors.
Regional meetings are held every other year for FAWCO member clubs. Additionally, an annual international FAWCO meeting is held for all member clubs. The First Vice President, along with the President or one other club officer or committee chair, are encouraged to attend these meetings, given adequate funds and approval are provided by the Board of Directors. The First Vice President is responsible for attending said meeting, providing updates to other member clubs about the AWCP, as well as providing reports to the Board and general membership about the findings from the meeting.

Maintaining and Updating the AWCP Webpage
The First Vice President is responsible in maintaining and updating the AWCP Webpage at awcphilippines.org. She will contact Committee chairs for up-to-date information on various upcoming events. No classified information like ticket costs or member information may be listed. The maintaining of the Website may be handled by our Office Staff at the First Vice President’s discretion.

Advising the Board of Directors about FAWCO and the Community Action Network
The First Vice President will advise the Board about both FAWCO and CAN-related activities, programs, projects and other relevant information through regular reports at Board meetings.

Assuming the duties of the President in her absence or assuming such other duties as delegated by the President.

From time to time there may be other special duties assigned to the First Vice President by the President.

Delegating the duties of this Office to another Board member when she is out of town or otherwise unable to carry out her duties
Because of the responsibilities of this office, it is important for the First Vice President to find a replacement when she is out of town for extended periods. The replacement must be another Board member. The Board should be advised as to who will be in charge.

Preparing and submitting a Year-end Report on the activities of the Office.
The First Vice President will prepare a Year-end Report on the activities of the Office during the year and supply copies to the President, Historian and her successor.

Planning a Budget:
Planning the budget is to be coordinated with the Treasurers, and the President. Normal expenses incurred by this position include, but are not limited to, the following:

b. FAWCO Membership
c. FAWCO Seminar
d. Web site fee
