General Statement
The Hospitality Committee welcomes newcomers and offers continuing hospitality to members.

Policy
1. The Hospitality Chairman will establish a regular schedule for Newcomer events. Changes must be announced in advance.
2. Members are considered "Newcomers" for one (1) year after arriving in Manila/joining the Club.
3. Any AWCP member may attend Newcomer events, provided they RSVP.
4. Board Members are encouraged to attend Newcomer events. Board members provide potluck food.
5. Hospitality events held at the Residence of the US Ambassador require special RSVP procedures to ensure that all who wish to attend will be admitted.

Duties
The Chairman and Co-chairman share the responsibilities of this Committee. These duties include:
1. Coordinating and publicizing hospitality activities for the membership throughout the year
2. Planning a budget of projected expenditures
3. Advising the Board of the activities of the Committee
4. Preparing and submitting a Year-end Report on the activities of the Committee

Procedures
Coordinating and publicizing hospitality activities for the membership throughout the year.
The Chairman and Co-chairman will:
1. Greet newcomers - The Hospitality Committee will find ways to greet newcomers and introduce them to other members at the General Meetings.
2. Arrange newcomer events - The Hospitality Chairman and Co-chairman will schedule newcomer events to occur regularly throughout the year.

a. The fourth (4th ) Wednesday of the month is set aside as the day for newcomer coffees”. These usually take place in the home of a member beginning at 9:30 a.m. The chairman goes to AWCP office on a regular basis to get print outs of newcomers. At the General Meeting you announce the next newcomers event, pass around a sign up sheet, and handout fliers. This is a great way to meet newcomers and tell them about coffee’s. Two - three (2-3) e-mails are sent out to invite people to newcomer’s coffee. One (1) general e-mail and one – two (1-2) reminder e-mails for the newcomers Nametags are advisable. Merienda, a light snack, is usually served. This is provided by the board members attending. Other events may be planned at the discretion of the Hospitality Chairman.

Committee Chairs are asked to come speak at the monthly coffees. This is to better acquaint the newcomers with the club. Bazaar, domestic registry, special events are always popular.

b. “Welcoming Cocktail Party” for newcomers and their husbands to meet Board members and their husbands will be scheduled twice a year. The most popular is the one hosted by the American Ambassador at his residence. This is usually in October or November. Specially printed invitations are issued to each member who has joined the Club. These are printed by the Ambassador’s Protocol Office. The Club pays for them. Because of security, strict RSVP policy is observed. The end of the year cocktail party is held in February in the evening.

3. Publicize activities – The Chairman should publicize all Hospitality events in Inklings, including Newcomer events and cocktail parties.

Advising the Board of the activities of the Committee
The Chairman will keep the Board advised of the Committee’s activities through regular reports at Board meetings.

Preparing and submitting a Year-end Report on the activities of the Committee
The Chairman will prepare a Year-end Report on the activities of the Committee during the year and supply copies to the President, Historian and her successor.

Planning a budget of projected expenditures
The Chairman and Co-chairman will meet with the President and the Treasurers at the beginning of the year to plan a budget of projected expenditures for their Committee’s activities.
